How to use your Branding for your CoDriver email address.

Learn how to customize your CoDriver email by setting up CoDriver Email Forwarding or a Group Distribution List.

Updated over a week ago

Introduction

When using CoDriver, customers receive a default email that includes Parade branding. To better align with your company's identity and improve communication efficiency, you can customize this email. This guide will walk you through two methods to achieve this:

  1. CoDriver Email Forwarding – Forwards carrier emails directly to CoDriver, automating responses and progressing conversations toward quotes.

  2. Creating a Group Distribution List – Routes emails through a company-branded address before reaching CoDriver.

After you finish setting up either method, make sure to add your email in the Custom Domain information inside your CoDriver settings, so we can use it when posting loads to Loadboards using CoDriver:

Method 1: Automatic Email Forwarding

If you want to forward carrier emails to CoDriver automatically, you can set up an Filter + Automatic Email Forwarding rule in your Email Provider. The way to do this setup might vary  depending on your Email Provider. For some of the most common ones, please refer to the instructions below.

When doing this setup, you may (Email Provider dependent) need to access your CoDriver inbox to see the Automatic Forwarding authentication code received there. To do so, open your CoDriver tab in Parade, and look for the automatic forwarding confirmation code received. If you have any issues finding the verification code, you can also reach out to our Support team.

Once the automatic forwarding setup has been finished, any emails matching your Forwarding filter will be automatically sent to your Parade CoDriver inbox.

Email Thread on CoDriver UI:

PS: Automatic Forwarding is different from the CoDriver Manual Forwarding process, and emails from Automatic Forwarded rules need to be sent to your original CoDriver address, as shown in the Parade UI.

As a consequence, the filter for "Forwarded" emails in the CoDriver tab will not show any automatic forwarded emails. Those will appear on the general inbound list. This happens because of a difference in how Email Providers handle manual forwarding, and automatic forwarding. For all intents and purposes, this will work exactly as if the email was being sent directly to your CoDriver address.

Method 2: Creating a Group Distribution List

What is a Group Distribution List?

A Group Distribution List is an email group that allows multiple recipients to receive emails sent to a single address. Instead of emailing individuals one by one, senders can use this group email to ensure messages are delivered to all intended recipients. In this case, we use a distribution list to direct emails to CoDriver in a way that fits your company's branding and workflow.

Steps to Customize Your CoDriver Email with a Group Distribution List

Step 1: Create a Group Distribution List

To customize the CoDriver email, you will first need to create a new Group Distribution List. This will act as your posting email.

  1. Choose a name/email address for the list, such as:

  2. Ensure the list is public.

  3. Allow external senders to email the group.

Please note: The process for creating a distribution list may differ depending on your email provider. For detailed instructions, refer to the documentation provided by your email service.

Step 2: Configure the Group List

Once the Group Distribution List is created:

  1. Ensure it is publicly accessible.

  2. Verify that external senders are allowed to email into the group.

  3. These settings will allow traffic to reach CoDriver successfully.

Step 3: Add CoDriver as a Member

To complete the setup:

  1. Locate your CoDriver Email Address in the Syndication Configuration section inside the Settings option in your CoDriver tab in Parade, it will be listed under Inbound email.

  2. Add your CoDriver Email Address as a member of the Group Distribution List.

  3. This ensures that emails sent to the group are correctly routed to CoDriver.

Step 4: Testing and Verification

Once the setup is complete:

  1. Send a test email to the new group address.

  2. Confirm that the email reaches CoDriver as expected.

  3. If issues arise, review the Group Distribution List settings to ensure everything is configured correctly.

Best Practices & Additional Considerations

  • Use a clear and recognizable email address to avoid confusion.

  • Regularly review sender permissions to prevent unauthorized access.

  • Monitor email traffic to ensure emails are being delivered properly.

FAQ & Troubleshooting

What if emails are not being routed correctly?

  • Double-check that CoDriver is added as a member of the Group Distribution List.

  • Ensure external senders are allowed to email the group.

Can I use an existing email instead of creating a new one?

  • Yes, but ensure the necessary configurations are in place for CoDriver compatibility.

Conclusion

Customizing your CoDriver email enhances your communication strategy and aligns it with your company's branding. Whether you choose CoDriver Email Forwarding for automated responses or set up a Group Distribution List for a branded approach, both methods aim to improve efficiency and carrier engagement.
