10/5/2026 – Real-Time Decline Email

Carriers hear back the moment you decline their quote for price.

When you decline a quote with "Rate is too high", Parade now emails the carrier right away and invites them to come back with a lower offer.

What's New

  • Instant decline email — Declining a quote for price sends the carrier an email immediately. It invites them to reply or resubmit with a lower offer.

  • Price declines only — Other reasons, like Truck no longer available or Fails compliance, don't send this email.

  • One email per quote — A carrier gets at most one email per quote. Declining the same quote again doesn't send another.

How It Works

You decline a quote with Rate is too high → Parade emails the carrier at the address they quoted from → the carrier replies or resubmits with a lower offer → your team reviews it and accepts, counters, or declines as usual.

Replies come to your inbox. They don't automatically become new quotes in Parade.

Example

The email is branded with your company name. It's signed by the rep paired with that carrier, or by your company's dispatch contact if there isn't one. Below the signature, the carrier sees their quote details: quoted amount, load ID, pickup, and delivery.

Why It Matters

  • A second shot at the load — Carriers know right away that their price didn't work, so they can come back with a better number.

  • A shot at a better rate — A carrier who comes back lower gives your rep a better rate to book, without a manual callback.

Good to Know

  • Your feedback stays internal — The email doesn't show a target rate or the feedback you selected.

  • Where replies go — Replies go to your company's dispatch reply-to address, or your automatic reply-to if no dispatch address is set. They don't follow your carrier reply routing setting. Because the email is signed by the paired rep, some carriers may email that rep directly.

  • Other declines don't email the carrier — Since 9/23, carriers whose quote you decline no longer get the "load no longer available" email when the load is covered. A quote declined for any reason other than Rate is too high gets no carrier email. Carriers who quoted and weren't declined still get the "load no longer available" email.

  • Contact info required — The email needs a carrier email address on the quote and a reply-to address for your company. If either is missing, no email goes out, and your decline is still recorded.

Where to Find It

Decline on a quote → set Quote Feedback to Rate is too high → Decline

Publish: copy everything above the divider into Intercom → Current Feature Releases & Updates. Title: "10/5/2026 – Real-Time Decline Email".

Optional: the Example image is a simple mock with the real subject and copy. Swap in a real capture from stage when you have one (it would also show the header, signature, and details table).

Update after posting: in Adding & Accepting/Countering/Declining a Quote, the Decline row still says the carrier gets a "did not win" email when the load is covered. Replace it with: "Record a reason (not shown to carrier). If you choose Rate is too high, the carrier gets an email right away inviting a lower offer. Other reasons send no carrier email."

    Follow-up ticket candidates:

    • Route decline replies to the load owner or acting rep, the way counters do (PE-693). Andy asked about this on 10/7.

    • The Decline modal says "Provide internal feedback," but Rate is too high now emails the carrier. Add a hint when that reason is selected.

Numbers for Andy's email: 3,088 decline emails across 77 brokers since 10/5. Rate is too high is about 30% of declines since launch.

Verified against: capacity-api v3.11.0 (commit 52ac6cd12, PE-865), the 9/23 suppression change (v3.10.1, PE-734), the prod deploy manifest, the Decline modal UI, and BigQuery.
